• Manage Access with Roles

  • A role is a collection of access rules designed for a specific responsibility, such as “Junior Salesperson”, “External Auditor”, or “Warehouse Manager”. It brings related permissions together in one place, making access easier to configure, review, and manage.

  • Roles can inherit other roles, be restricted to specific companies, and be assigned directly to individual users or applied to an entire Odoo group at once.

• Ready-made role templates

  • Get started quickly with 20+ ready-to-use access templates for common roles such as Salesperson, Sales Manager, Accounting User, Purchase Officer, Warehouse Manager, HR Officer, Project User, and more.

  • Apply a template in one click to create a role, then customize the permissions based on your business requirements. You can also save your customized roles as templates and reuse them across companies or databases.

  • Templates automatically adapt to your Odoo setup, so only templates related to your installed applications are displayed.

• Access Board

  • Manage user access from a single interactive screen. View users and available roles in one place, then easily assign or remove roles as needed.

  • When you select a user, Smart Access Manager shows their current roles and access conflicts, including permissions received through inherited or assigned roles. This makes it easy to identify and resolve access issues.

• Element Inspector

  • Inspect Mode: Enable Inspect Mode and click any field, button, tab, filter, or menu directly on the Odoo screen. Smart Access Manager shows the existing access rules for that element and lets you create or update restrictions directly from the screen.

• Security, Compliance & Audit

  • Conflict Rules: Prevent users from having conflicting roles, such as roles that should not be assigned to the same person. Authorized users can approve exceptions with a written reason that is recorded for future review.

  • Permission Conflict Detection: Identify when different roles have conflicting permissions for the same field or action. Smart Access Manager clearly shows the conflict and which permission takes priority.

• Record & Data Access

  • Record Permissions: Control whether users can view, create, edit, or delete records. You can also make records read-only or apply specific permissions only to external API access.

  • Domain Access: Show or hide specific records based on rules. Choose whether the restriction applies to viewing, editing, creating, deleting, or a combination of actions.

  • Field Control: Hide fields, make them read-only or required, remove internal links, or disable Create & Edit options in dropdowns. These rules can also be applied only to specific views such as Form, List, or Kanban.

  • Field Value Restrictions: Control which values users can select in dropdown fields, such as customers, products, warehouses, or other records.

• Interface Control

  • Menus & Buttons: Hide menus, app sections, buttons, smart buttons, tabs, links, or specific views based on user roles.

  • Search & Filters: Hide the search bar, specific filters, Group By options, or the Favorites menu when needed.

  • Chatter Control: Hide the entire Chatter or control individual options such as Send Message, Log Note, Schedule Activity, Followers, and Chatter search.

  • Navigation & Systray: Control visibility of navbar and systray items such as Discuss, Activities, Company Switcher, and third-party icons. These restrictions can be applied globally or only on specific screens.

• Conditional Access Rules

  • Create condition-based access rules without writing code. Apply restrictions when a record meets specific conditions, such as when an invoice is posted or an order reaches a certain amount.

  • Depending on the condition, you can make records read-only, restrict specific fields, prevent deletion, or hide fields, buttons, and tabs. This gives you flexible control over access based on your business workflow.

• User Access Management

  • Global Read-Only: Allow users to view the information they have access to without making any changes anywhere in Odoo.

  • Block Login: Prevent a user from logging in while keeping their records, ownership, and activity history completely intact.

  • Business Hours: Allow login only on selected days and during specific working hours. You can also define the timezone, and active sessions are automatically ended when the allowed time period expires.

  • Block External API: Prevent users from accessing Odoo through external APIs such as XML-RPC and JSON-RPC while keeping normal web access available. This can also be reversed for integration accounts.

  • Block Developer Mode: Prevent users from enabling Developer Mode for roles where technical access should be restricted.

  • Kill Switch: Immediately revoke a user’s access and log them out of active Odoo sessions. Access can be restored whenever required.
