Incremental Sync & Auto-Cleanup

To maximize performance and prevent heavy database loads, the connector utilizes an Incremental Synchronization Engine.

How Incremental Sync Works

Each worksheet tab stores a document property tracking its last successful execution timestamp (LAST_SYNC).

When clicking Refresh Now or when a background schedule runs:

  1. The connector sends the LAST_SYNC timestamp alongside the request.

  2. Odoo queries for records created or updated after that timestamp matching the domain rule.

  3. Only modified or new records are returned over the network.

  4. Existing rows in the sheet are updated in place, while new records are appended at the bottom.

Automatic Deletion Cleanup

If a record is deleted, unlinked, or archived inside Odoo so it no longer matches the domain filter:

  1. The connector retrieves the active list of valid IDs from Odoo during sync.

  2. It compares the id column values in the Google Sheet against Odoo’s active list.

  3. Any row in Google Sheets whose ID is no longer present in Odoo is automatically deleted from the worksheet tab.

Note

Manually added rows (rows with no ID) are preserved during incremental syncs and are never deleted.
